How Hardline collects, uses and protects information on hardline-usa.com.

Last updated: November 5, 2026

The short version

  • We collect what you type into our forms: quote requests, dealer applications, unit registrations, warranty claims, parts orders, and OEM and contact requests. We use it to answer you.
  • This site uses no cookies, no analytics and no advertising trackers.
  • We don’t sell your information or share it for advertising.
  • We share details only with the companies that help us answer you. Examples are the dealer quoting your order, the service company repairing your unit, and the carrier shipping your parts.
  • You can ask to see, correct or delete your information at any time: contact@hardline-usa.com or 1-888-789-4118.

1. Who we are

Hardline Corporation (“Hardline,” “we” or “us”) makes and sells commercial refrigeration and food service equipment. Our address is 1901 N Clybourn Ave, Chicago, IL 60614.

This policy covers hardline-usa.com and the requests, emails and calls that start there. It does not cover our dealers’ websites or any other company’s site.

Most people who use this site are buying or servicing equipment for a business, so the information we handle is mostly business contact details.

2. Information we collect

Information you send us

We collect only what you enter in a form, send in an email or tell us on a call. Our forms ask for:

We never ask for payment card numbers, passwords or government ID numbers through this site. Please don’t include them in a form or email.

A form may not be able to send, for example if your connection drops. In that case the page tells you how to reach us by phone or email instead.

Information collected automatically

This site does not use cookies, analytics, advertising pixels or similar tracking tools.

Like any website, the servers that deliver it record basic technical information for each page request. This includes your IP address, browser and device type, the page requested, the page you came from and the time. Our hosting provider uses this to deliver the site, keep it secure and prevent abuse.

Information from others

We may receive information about you from Hardline dealers and service companies. For example, a dealer may report a sale for warranty purposes, or a technician may report on a repair.

3. How we use information

  • To answer your questions, prepare quotes and connect you with a dealer.
  • To review dealer applications and manage our dealer network.
  • To register equipment, handle warranty claims, arrange service and ship parts.
  • To scope and quote OEM and custom projects.
  • To follow up on your request. If you are a business customer or dealer, we may also send occasional product and program updates, and you can unsubscribe at any time.
  • To keep records for warranty, tax, accounting and legal purposes.
  • To keep the site and its forms working and secure, including filtering spam.
  • To comply with the law and protect our rights and the safety of others.

We don’t use your information to make automated decisions that have legal or similarly significant effects on you.

4. Who we share it with

We share personal information only as needed for the purposes above:

  • Companies that run our website, forms and email. These are our website host (Netlify), which stores form submissions and screens them for spam with an automated filter (Akismet), and our business email provider (Google Workspace). They process information for us to provide their services.
  • Hardline dealers and distributors. When you ask for a quote or want to buy, we may pass your request to an authorized dealer who can quote and deliver.
  • Service companies. When you file a warranty claim, we share your business name, contact details, unit location and the description of the problem with the authorized service company that will do the work.
  • Freight carriers. We share your name, business and ship-to address to deliver parts and equipment.
  • Manufacturing and engineering partners. We share equipment details (model, serial number, problem description or project specifications) when a warranty, parts or OEM request needs factory support. We share contact details with them only if they are needed to resolve the request.
  • Advisers and authorities. These include our lawyers, accountants and insurers. We also share information with government or law enforcement when the law requires it, or to protect rights and safety.
  • A buyer or successor. If Hardline is part of a merger, acquisition or sale of assets, personal information may transfer to the new owner, subject to this policy.

We do not sell personal information, and we do not share it for targeted advertising, which some state laws call cross-context behavioral advertising. We have done neither in the past 12 months.

5. Cookies, tracking and Do Not Track

hardline-usa.com does not set cookies, does not use analytics, advertising or social media trackers, and does not load content from other companies’ servers. No other company collects information about your online activity over time and across websites through our site.

Because we don’t track you, a Do Not Track or Global Privacy Control signal has nothing to switch off. We treat a Global Privacy Control signal as a request not to sell or share your personal information, which we don’t do anyway.

If we add analytics or similar tools in the future, we will update this policy before we do.

6. How long we keep information

We keep personal information only as long as we need it for the purpose we collected it for. After that, we delete it or remove the details that identify you.

  • Quote, contact and OEM requests: while we are discussing or doing business with you. After that, only as long as needed for sales and accounting records.
  • Dealer applications: for as long as you are a Hardline dealer. If we don’t go ahead, only as long as needed to respond and record the decision.
  • Unit registrations, warranty claims and parts orders: for the warranty period of the equipment. After that, as long as needed for safety notices, open claims or disputes, and tax and legal requirements.
  • Server logs: for the limited period our hosting provider keeps them.

7. How we protect information

The site is served only over encrypted (HTTPS) connections. Form submissions and emails are kept in password-protected business accounts. Only the people who need them to answer your request can see them.

No way of sending or storing information is completely secure, but we work to protect yours. If a breach affects your information, we will notify you as the law requires.

8. Your choices and rights

Wherever you are, you can ask us to:

  • tell you what personal information we hold about you and give you a copy;
  • correct information that is wrong;
  • delete your information, unless we need to keep it, for example for an open warranty claim or our tax records;
  • stop sending you marketing email.

To make a request, email contact@hardline-usa.com with “Privacy request” in the subject line, or call 1-888-789-4118. Every marketing email also has an unsubscribe link. If you unsubscribe, we will stop within 10 business days.

Timing. We will confirm that we received your request within 10 business days. We will answer within 45 days, or within 30 days for Canadian residents. If we need more time, we will tell you why.

Checking it’s you. We confirm your identity by matching details you have already given us, such as your email address and a recent request or serial number. You can have an authorized agent make a request for you if you give them signed permission. We may ask you to confirm that permission directly with us.

Appeals. If we turn down your request, you can ask us to reconsider by replying to our answer. We will respond within 45 days. We will not treat you differently for using any of these rights.

9. California and other U.S. state residents

California’s privacy law (the CCPA) and similar laws in other states give residents the rights in section 8, plus the right to know more about how we handle information. In the past 12 months we have collected the categories below. They came from the sources and were used for the purposes described in sections 2 and 3.

10. Canadian residents

We handle the personal information of people in Canada in line with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial laws. Our Privacy Officer is responsible for our compliance and can be reached as shown in section 14.

You can ask to see and correct your information and withdraw your consent. If you withdraw consent, we will explain what that means for your request. For example, we can’t process a warranty claim without your contact details.

If you are not satisfied with how we handle a concern, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca. Quebec residents can also contact the Commission d’accès à l’information du Québec.

11. Information outside your country

Hardline is based in the United States. Our service providers may store information in the United States and other countries, and some of our manufacturing partners are outside the United States and Canada (see section 4). Information held in another country may be accessed by that country’s courts and authorities under its laws.

This site is for businesses. It is not directed to children under 16, and we don’t knowingly collect their information. If you believe a child has sent us personal information, contact us and we will delete it.
